Proactis automates public sector procurement and strengthens spend control

Public sector organizations answer to procurement rules set outside the organization, which dictate when a contract must go back out to tender, how openly each award must be documented, and what can be bought without a tender. Many still build that record by hand, with approvals moving on paper, invoices rekeyed into the finance system, and supplier files maintained manually. Nucleus interviewed public sector organizations that run procurement on Proactis and found that they reduced administrative costs and processing time, lowered supplier onboarding costs, and increased spend control and audit visibility. One European university reduced its accounts payable team from 14 people to four without redundancies, removing roughly 380 hours a week of administrative work, while prompt payment and first-time match rates are above 98 percent. One national government cut invoice processing from a minimum of a week to the same day, with approvals returning within hours. By connecting tender, contract, purchase order, and invoice into a single electronic record alongside the existing finance system, Proactis makes compliance a byproduct of the work rather than a separate administrative task.
